Set up customer emails

Choose which order emails your customers get, reword them, get new-order alerts, send from your own domain or SMTP server, and check the email log.

StoreLine can email your customers as their order moves along, from "order received" to "delivered", and email you when a new order comes in. Everything is set up in the dashboard: choose which emails go out, how they look, and who sends them.

Before you start

  • You need the permission Integrations & secrets. Store Owners and Admins have it. Managers and Staff don't have it by default.
  • Add a contact email in Settings → General. Customer replies go there unless you set a different Reply-To address.
  • Customers get emails only if they entered an email address at checkout.

Steps: set up your customer emails

  1. Step 1

    Go to Settings → Email. The first card shows who sends your email. Normally it says Emails are sent by StoreLine with the chip Active; there is nothing to set up.
  2. Step 2

    Under Sender, type a From name (blank uses your store name) and a Reply-To email (blank uses your store email).
  3. Step 3

    Under Email language, choose English or বাংলা (Bangla). Customer emails are written in this language.
  4. Step 4

    Under Customer emails, switch off any email you don't want to send. All of them are on for a new store.
  5. Step 5

    Optional: click Customize text under an email to write your own Subject and Intro message.
  6. Step 6

    Click Save changes at the top. You see Email settings saved.

In your own subject and intro you can use {{order_number}}, {{customer_name}} and {{store_name}}. The intro is shown above the order details. A subject can be up to 150 characters and an intro up to 1,000. Click Use default text to go back to StoreLine's wording.

Steps: get an email for every new order

  1. Step 1

    On Settings → Email, find New order alerts to you and turn the switch on. It is off for a new store.
  2. Step 2

    Under Recipients, add up to 10 email addresses.
  3. Step 3

    Click Save changes at the top.

Every recipient is emailed when a customer places an order on your storefront. Orders created from the dashboard are not emailed.

Send a test email

Under Send a test email, click Send test to store owner. A sample order email with your store name, logo and language goes to the Store Owner's login email. There is no address to type: test emails always go to the store owner. The test uses your saved settings, so save your changes first.

Send from your own domain

With Send from your own domain, customers see your own address, such as orders@yourstore.com, instead of StoreLine's. You need a domain your business owns. This is used when StoreLine sends your email; with your own SMTP server, the From address comes from that server's settings.

  1. Type Your domain and the Send as name (the part before the @), then click Add domain.
  2. The DNS records appear below the domain. Add each record exactly as shown in your domain provider's DNS settings.
  3. Come back and click Check now. StoreLine also checks every 15 minutes by itself. DNS changes can take up to 48 hours.
  4. When the domain shows Verified, turn on Use this domain for customer emails and click Save changes. Until then, customer emails still go from StoreLine's address.

Use your own SMTP server

If you already have a mail server (for example Gmail, Zoho or cPanel), you can send through it instead of StoreLine.

  1. Under Sending method, choose Own SMTP.
  2. In Your SMTP server, turn the switch on and fill in Host, Port, SSL/TLS, Username, Password, From name and From email.
  3. Click Save changes at the top. StoreLine keeps sending your emails until your server is ready, and switches over as soon as it is.

Your password is stored encrypted. For Gmail, create an App Password at myaccount.google.com/apppasswords and use port 465 with SSL/TLS on (or port 587 with SSL/TLS off).

The email log

The Email log at the bottom lists every email your store sent in the last 90 days and what happened to it. Search by email address, or filter by Type and Status.

  • The statuses are Queued, Sending, Sent, Delivered, Bounced, Marked as spam, Failed, Suppressed and Over limit.
  • When an email has an error, point at its status to read the reason.
  • Suppressed means the address is on the do-not-send list, because an earlier email to it bounced or was marked as spam.
  • Over limit means it was skipped because the monthly email limit was reached.

FAQ

Check that they entered an email address at checkout and that the email is switched on. Then search for their address in the Email log to see its status. Ask them to check their spam folder too.

Customers won't receive order emails until it is. Add your own SMTP server on the page, or ask StoreLine support to turn on StoreLine email for your store.
